Usernames

Q: How do I create a username for my dealership?

A: To create a username please follow these steps:

1. Click on the ‘Setup’ link the upper right hand corner of the screen.
2. Go to the ‘Users’ Tab (second-to-last)
3. Click ‘Add’ at the bottom of the list
4. Enter as much of the information requested as possible.
5. Click Submit

Employees

Q: I have a new employee at my dealership, how do I add them to my menu?

A: Employees can be added to your menu by following these steps:

1. Go to ‘Setup’ link in the upper right of the screen.
2. Go to ‘Employees’ Tab (last tab)
3. Click ‘Add’ at the bottom of the list
4. Enter First Name, Last Name, and select their sales position
5. Click Submit

Interventions

Q: What are interventions? & Why do deals keep coming into intervention at my store?

A: Interventions are VisionMenu’s way of separating out deals that need to be reviewed.

Deals come into intervention for several reasons:

  • New Salesperson, Sales Manager, or Finance Manager
  • A new lender comes in from your DMS
  • A new product comes in from your DMS, or a spelling of a current product has changed.
  • Please Select the video that most closely meets your needs

Reports

Q: Why aren’t my reports accurate?

A: Your reports may have incomplete data for a number of reasons. The following is a list of possibilities:

  • Interventions (see Interventions section on this page)
  • Non-Finalized deals for the month
  • Product information not mapped properly
What information you are looking to have on this report? It could be that you may need to look at a different report.

 

Q: How do I DNQ a deal?

A: To disqualify a deal follow the steps provided:

1. Select the deal you would like to DNQ.
2. Click the edit deal button in the upper right hand corner of your screen.
3. On the left side of the screen (Sales Info), uncheck the “Qualified” box.
4. select the finalize button
*Note: Select the finalize acct. button if you are DMS integrated to make sure the change you’ve made is not overridden by the DMS.

Menus

Q: How do I create my own custom menu templates?

A: To create a new menu template complete the following steps:

1. Click on “Setup” in the upper right-hand corner of the screen
2. Click on the “Menus” tab
3. Scroll to the bottom of the screen and click “Add”
4. Enter the new menu template name
5. Select the type of deals you want associated with this template (Finance, Lease, Cash)
*Note: You can select more than one deal type. This w ill create multiple templates based on the deal types selected.
6. Select the products you want to appear on this menu
7. Click Submit

Q: How do I edit my menu templates?

A: To edit a menu template complete the following steps:

1. Click on “Setup” and the select “Menus” from the available tabs
2. Select the template you wish to edit

Products

Q: How do I create a product for my menu?

A: To create a product complete the following steps:

1. Go to “Setup” in the top right of your screen
2. Click on the “Products” tab
3. Click “Add” at the bottom of the product list.
4. Enter as much information as possible regarding your product, this includes:
  • Retail Price
  • Cost information
  • Appropriate Tagline.
  • Tax ability of the product on deal types
Note: At this time you may also add this product to any of your menu templates by selecting the template from the list shown. (You will be able to add the product to any template at any time, even if not selected in this step.)

 

5. Click “Submit” Your product will now show up in the product list.

Q: How do I edit a previously created product?

A: To edit a product complete the following steps:

1. Go to “Setup”
2. Click on “Products”
3. Select the product that you wish to change.
4. Make any changes to the product you wish.
5. Check the check-box next to “Apply Changes to All Menu Defaults for this Product” (This will implement all changes across all menu templates for this product.) and then select “Save”
6. Refresh your screen and ensure that your changes have been implemented.

Q: How do I enter a product only sale into VisionMenu?

A: VisionMenu has a specific type of menu template for product-only sales (Walk-in Menus):

(For integrated dealerships)

1. Go to your deal ledger.
2. Enter your deal number and select “Pull to”
3. Scroll down to “Walk-in”
4. Modify your deal as needed then complete the sale as normal.

 

(For non-integrated dealerships)

1. Go to your deal ledger.
2. Select “New Deal” on the left side of the screen.
3. Scroll down to “Walk-in”
4. Modify your deal as needed then complete the sale as normal.

vRate: e-Rating and e-Contracting

Q: When I pull rates into my menu, why don’t they match what is available in my provider portal (Example: Allstate Dealer Portal, CNA website, F&I Café, etc.)?

A: There are several things that can be taken into consideration for this. The following is a list of possibilities:

  • An in-service date may be required by your provider, this is found on the vehicle tab
  • There is a surcharge for your product that is not being selected during the rating process (Example: Extended Eligibility, Under Original Factory Powertrain Warranty, Is Factory Certified, etc.)
  • The New/Used drop down box on the vehicle tab isn’t set to the correct option to retrieve desired rates.

Q: I made mistake, how do I void and re-rate this product?

A: There are several things that can be taken into consideration for this.

Generally speaking you should be able to click on the “Void” button the deal you are working on. If there is no “Void” button:

 

You can request assistance from your agent, or go to your provider and give them the information and have them complete the removal of the contract. Once you have successfully voided the contract you can do one of two things to re-rate and re-contract the products desired

 

1. Re-pull the deal into VisionMenu and rate and contract the products you need.
2. Manually recreate the deal and then rate and contract as normal.

 

Note: If you have multiple contracts on the same deal and only a select number of them are incorrect, please follow the above steps and void only the contracts that need to be corrected. If you “Change Deal” after you void a contract on a deal, you will be unable to contract again on the same deal.

 

Q: Can you default (or change) what information comes back from my provider?

A: Unfortunately, no, VisionMenu can not default what rates and terms are returned by your provider. Each vehicle will qualify for something a little different. VisionMenu is displaying all of the information that is returned via the web-service call made when you “Get Rates.” We apologize for any inconvenience this may cause.

 

Q: Do you connect with ________ web-service?

A:VisionMenu is capable of connecting with any .net compatible web-service available.

Our protocol is to obtain written instructions on how to consume the desired providers web-service from their IT staff. Once we have their development notes, we will look into putting it on the VisionMenu IT game plan.

Q: Why am I not able to contract my products on the “Close and Review” screen in VisionMenu?

A: To make sure you will be able to contract your products through VisionMenu, you must “Get Rates” on the work screen.

If you do not “Get Rates” through VisionMenu, there is no connection between your dealership, the vehicle you are wanting to contract and the provider you are trying to contract through. Without the connection, you will not be able to create a contract within VisionMenu.
